What to Send for a Shipping Quote

Start with the exact model or product link, the quantity you want, and the destination country and city. If you already know the preferred port, airport, warehouse, or delivery address, include that too.

  • Model name, listing ID, or product link
  • Quantity and whether the order is a sample or commercial shipment
  • Destination country and city, plus port or postcode when available
  • Preferred delivery point: port, warehouse, studio, or residential address
  • Any delivery restrictions, lift-gate needs, appointment requirements, or unloading limits

Make the destination specific

Shipping options and destination charges depend on the route and delivery point. A city and postcode are more useful than a country alone.

Packaging Information to Confirm

Package count

Ask how many cartons, crates, or pallets are included for each unit and for the full order.

Dimensions and weight

Confirm package length, width, height, net weight, and gross weight. These figures affect freight and handling.

Protection method

Confirm whether the equipment uses cartons, foam, corner protection, wooden frames, or export crates, and which parts are packed separately.

Handling needs

Check whether the shipment needs a forklift, pallet jack, lift gate, appointment delivery, or more than one person to unload.

Trade Terms and Freight

Shipping methods and trade terms are confirmed for the destination and order. Do not rely on a generic promise of a single rate or a universal delivery option. Ask for the quotation to state the shipping method, named destination, trade term, validity period, and which charges are excluded.

Before payment, ask for one written summary covering the exact model, included accessories, packing list, package count and dimensions, lead time, shipping method, trade terms, destination charges, payment schedule, and applicable warranty.

For OEM or private-label orders, also confirm logo placement, finish, packaging artwork, sample approval, and the point at which changes become chargeable.
